This policy applies to the SmartBidders portal and Chrome extension operated by SmartBidders.
Information we process
- profile data: username, name, email address, telephone number, organization and language;
- security data: MFA status, device, session, IP address, browser and extension version;
- access to auction sites and the assigned shared account, without displaying the shared password in the user interface;
- activity on supported auction sites: viewed listings, URLs, lots, Watch actions, reservations, pre-bids, live bids, results and won vehicles;
- page content required to identify a vehicle, auction, lane/run, prices, seller and bidding status;
- compatibility diagnostics: extension version, URL without query parameters, availability of required page elements, normalized navigation labels and paths, and non-reversible structural fingerprints used to detect auction-site changes;
- evidence screenshots for selected control events;
- documents, messages and communications submitted through the portal or connected business channels.
Why we use this information
We use this information only to provide controlled access to authorized auction sites, attribute actions to the actual user, maintain security, detect interface and login-flow changes that can affect SmartBidders, manage reservations and conflicts, process bids and won vehicles, handle documents and communications, provide support and investigate misuse.
Access and disclosure
Information is available only according to the assigned role: user, wholesale organization, manager or administrator. Hosting, email and business-communication providers may process information only as necessary for SmartBidders operation and security. We do not sell data or use it for advertising, credit decisions or unrelated profiling.
Retention and security
Data is transmitted over protected HTTPS connections. Shared credentials and MFA secrets are stored encrypted on the backend. Retention periods for audit metadata, screenshots, documents and communications are determined by the current retention policy and applicable contractual and legal requirements. Information about an applicable retention period can be requested through the contact below. Deletion or anonymization follows the current procedure unless the information must be retained for security, a dispute or a legal obligation.
Your rights
You may request access, correction, restriction or deletion of personal data where applicable. Some audit records may be retained for security, accountability, a contractual dispute or a legal obligation.
